ServiceNow Data Architecture Review
How GIS People reviewed NSW DPIRD's ServiceNow data model and designed a target architecture, governance practices and implementation roadmap for greater clarity, performance and maintainability.
The NSW Department of Primary Industries and Regional Development (DPIRD) protects, supports and develops New South Wales’ primary industries and regional economies, from agriculture, fisheries and forestry to mining, regional infrastructure and the management of natural assets. Like many large agencies it runs a great deal of that work on ServiceNow, the enterprise workflow platform, where tasks, locations and contacts are the building blocks that workflows, modules and reports are assembled from.
Challenge
DPIRD’s ServiceNow data model had grown faster than its documentation. Task, Location and Contact records were referenced across workflows, modules and reports, and nobody had a single, current view of how those structures fitted together. The department needed to understand how the platform was actually being used, where inefficiencies were emerging, and which structures were creating performance or governance risk.
The real risk was hidden dependencies. Without a documented picture of the relationships, routine platform growth can turn into technical debt, and every new workflow or report adds to the tangle rather than building on a known foundation.
Solution
GIS People began with structured discovery before any design. Stakeholder workshops and a current-state review established how the platform was really used, then the team mapped the Task, Location and Contact relationships across workflows and reporting so that every recommendation could be tied back to evidence rather than assumption.
From that evidence, GIS People designed the target data architecture, data governance recommendations and an implementation roadmap, with senior technical peer review throughout. The engagement ran in four structured phases:
